As we enter an exciting new chapter and have ambitious plans to grow significantly over the next 2 to 3 years, we are looking for a Project Coordinator to join our team.
About the role
You will support the day-to-day delivery of projects across our clinical trial engagement and healthcare communications portfolio.
You will work collaboratively with cross-functional teams and suppliers to coordinate timelines, documentation, and financial tracking, helping to ensure projects run smoothly and remain aligned to approved scope and budgets.
You will play an important role in maintaining quality standards, supporting internal review processes, checking materials for accuracy and completeness, and ensuring agreed workflows are followed at every stage.
From initial planning through to final delivery, you will help keep projects organised, on time, and delivered to a consistently high standard.
Key responsibilities
Project coordination
- Manage individual projects from concept to completion with support from senior team members
- Act as the day-to-day contact for allocated projects, ensuring smooth communication and coordination with clients, colleagues and suppliers
- Attend client and internal status meetings and take clear, concise meeting minutes for effective follow-up
- Be proactive and solution focussed, working closely with cross-functional colleagues to resolve project-related issues, ensuring the best possible outcomes for our clients
- Develop project timelines, monitor and communicate key dates and any changes to all stakeholders, and ensure milestones are met
- Ensure all relevant teams receive a thorough brief on project details
- Follow and complete the quality review process for all projects
- Monitor and manage print requests, coordinating with internal teams and updating clients on progress
- Help create a positive and supportive team atmosphere by staying upbeat, working collaboratively, and encouraging a culture of respect and open communication
Financial management
- Monitor and reconcile time and budgets against approved scope
- Flag potential risks and scope changes early
- Support the creation of documentation for projects
Key skills and experience
- Degree in Life Sciences is desirable
- Experience in an Account Executive, Project Coordinator, or similar role is desirable
- Proficient in Microsoft Office Suite
- Strong organisational and time management skills
- Clear and confident verbal and written communication
- Teamwork oriented with an ability to multitask and adapt while building relationships at all levels
- Strong attention to detail and good proofreading skills
- Solution focused and proactive in a fast-paced environment

Where will you be working?
As our team continues to grow, we ran out of desk space! This meant we needed to take the next step in finding ourselves a new home. As a result, we were very excited to secure a fantastic new office space at ‘The Works’ in Sawston.
